Running a beauty institute
The client bought a package, the appointment was booked with a specific therapist, and the balance is counted from a card file. A cancellation an hour prior leaves an empty chair, and nobody calls the person waiting for that same therapist.
Who it is for
For an institute with several therapists, packages, and appointments booked ahead. A poor fit for a one-therapist room with no packages and no waitlist.
Problems this page addresses
A package with no balance
Ten treatments were paid. After the sixth, each therapist quotes a different number, because the deduction was written on her own card, not on the client.
A slot taken on one therapist’s diary
Reception booked a therapist who is already in a long treatment that hour. The diaries do not see each other.
A late cancel with no follow-up
The chair opened up. The person who asked for that therapist never heard, because there is no list by therapist and time.
What you get
A package on the client
How many treatments were bought, how many were used, what remains. Every therapist deducts from that same balance, not from a personal card.
A diary per therapist
An appointment is booked only on a free hour for that therapist. A long treatment occupies the whole window, not just the start time.
A list for an opened chair
A late cancel opens the hour. Reception sees who asked for this therapist, and calls before the hour is lost.
Common questions
Is this the same as a gym?
No. A gym has a membership and a freeze. Here there is a treatment package, a therapist’s diary, and a cancellation that opens a chair. A benefit for a returning client can be added only if the desk actually gives it.
Does an appointment reminder go out on its own?
Yes, for a booked appointment, with the therapist’s name and the time. Not a promotional text. A client who cancelled does not get a reminder for an appointment that is already closed.
What about a client without a package?
A single visit is booked with no balance. A package opens only when it is paid for. A card is not forced on someone who came once.

Running a gym
The membership was opened at the desk, the freeze was approved out loud, and the class is overbooked because the calendar does not know who already registered. Someone who has not come for two months is still being billed, or the reverse, training with a membership that already ended.
