Client management for an accounting firm
In January every client is equally urgent. Documents arrive in WhatsApp, the missing list sits with whoever spoke to the client, and a filing is recorded only when someone remembers to update the sheet.
Who it is for
For a firm with a reporting season, several preparers, and clients who do not send paperwork on time. A poor fit if the firm already works inside its tax software with no parallel channel.
Problems this page addresses
The missing list lives in chat
You asked for an invoice, a confirmation, and a form. The client sent part of it. Nobody can see in one view what still blocks the report.
No owner for the client in season
Two preparers answered the same client. Nobody closed the document list, and the report waits without an owner.
The filing never closes in the system
The report went out, but the status stays "in progress" because the update is a separate step nobody takes at the end of a long day.
What you get
A document file for the season
Each client has a list of material by report type. What arrived is checked. What is missing stays open with the date it was requested.
One preparer per client
A client moves between preparers only by an explicit handoff. The history of requests stays on the file.
A filing status
Draft, waiting on the client, filed. The weekly meeting looks at the status, not at a sheet updated on Thursday.
Common questions
Does this replace the accounting software?
No. The accounting software stays where the numbers live. This system tracks the conversation with the client: what you asked for, what is missing, and who owns it, before the report enters that software.
How do you roll this out without stopping the season?
Not every client on day one. Start with one preparer’s clients and the document list for one report type. The rest of the firm joins after that list has proven itself on real files.
Can clients send documents with Hebrew names?
Yes. Document names and statuses stay in Hebrew, because that is what the client and the accountant say on the phone.

Rollout and training the team actually uses
A system without practice slides back to WhatsApp in the second week. We hand it over with drills on real routines, a short page per role, and a clear order for permissions and backup so work continues if the person who knew the system leaves.
