A WhatsApp bot for business, wired to the system

A bot that answers on its own in a separate chat puts the customer back exactly where they were: a conversation nobody else on the team can see. We connect WhatsApp to the system that holds the case, so the message is filed on the right customer and the reply goes out only after a person approved it.

Every page is the same offer: AI agents, an information system and a WhatsApp bot on the WhatsApp Business platform, as a Meta Tech Provider. Business automation, customer management and human approval. One software house.

Who it is for

For a business where most enquiries arrive on WhatsApp and more than one person needs to know what was said to the customer. A poor fit if you want cheap auto-replies on a private number, or a bot that blasts a mailing list.

Problems this page addresses

  • The conversation lives on one phone

The customer writes to whoever answered last time. When that person is away, nobody knows what was promised.

  • The bot answers and does damage

An auto-reply that does not know the case gives a generic answer, and the customer realises they are talking to a wall.

  • The number is not really yours

A vendor who connects the bot on their own account holds the number. The day you want to leave, the conversations stay with them.

What you get

  • An official Meta account in the business name

The connection is made as a Meta Tech Provider, and ownership of the account and the number stays with you.

  • Every message filed on the customer

The enquiry enters the system and attaches to the existing record, so the team sees one history instead of a separate chat.

  • A queue of drafts to approve

The agent proposes wording, a team member approves or corrects it, and only then it is sent. Who approved what is kept.

How it moves

  1. 01

A call about the three questions

Bring the three questions that come back every day, and the sentence you use when handing a chat to a person. Without those there is nothing to build.

  2. 02

    Opening the official account

We verify the business with Meta and connect the business number. Whoever owns that number needs to be part of it.

  3. 03

    Message template approval

Meta approves every template for an outbound message. That step takes time and is not up to us, and it is better known in advance.

  4. 04

    Wiring it to the system

Messages start landing on the customer record and the team sees them in one place. At this stage the bot is not answering yet.

  5. 05

Going live on one kind of enquiry

We switch on replies for a single kind of enquiry, with human approval on every answer, and widen it once we have seen real wording.

What it does not do

  • It does not pretend to be a person

The bot says it is a bot. When a customer asks for a person, the chat is handed over rather than stretched out.

  • It does not send without approval

A draft is the default. Automatic sending is kept for fixed wording where a mistake costs nothing.

  • It does not bypass Meta’s rules

We do not connect a private number, do not send outbound messages without an approved template, and do not buy lists.

Common questions

What does a WhatsApp bot cost?

Two separate parts: the one-off work on the connection and the logic, and the per-conversation fee Meta charges. The running cost depends on your message volume, so we work it out against real numbers from last month rather than quoting before we have seen them.

Can we use our existing business number?

Yes, and that is the right way. The number stays owned by the business. If regular WhatsApp is on it today the move needs planning, because the same number cannot be in both places at once.

What is the difference between a WhatsApp bot and an AI agent?

The bot is the channel: it receives and sends messages. The agent is what composes the answer. You can have a bot without an agent, with a menu and fixed replies, and fairly often that is exactly what is needed.

Does the bot answer customers by itself?

Not by default. It prepares a draft and a team member approves it. Once the wording proves itself on real enquiries, you can decide which kinds of enquiry go out directly.

What is a Meta Tech Provider and why does it matter?

It is an official status that allows the WhatsApp Business API to be connected on the business’s own account. In practice: the account and the number are yours and not ours, and the day you change vendor you do not lose the channel.

Can it book appointments?

Yes, and it is one of the cases that pays off: the question repeats, the answer is defined, and a mistake is cheap. The condition is a calendar that can be read and written to, not a personal one on someone’s phone.
