Placement management for a staffing company
The client asks for people on a site, the candidate was approved by phone, and the hours arrive at week’s end on a sheet that does not match who actually showed up. The same person appears once as a candidate and again as a placement.
Who it is for
For a company that places workers with clients, on changing shifts or sites. A poor fit for an in-house recruiter with no placement at a client.
Problems this page addresses
Candidate and client on the same card
You needed a forklift operator. You sent someone who is already placed tomorrow on another site, because availability sits with the coordinator, not on the person.
A placement with no arrival confirmation
The client approved the name. The worker never confirmed they are coming. In the morning someone is missing, and no backup was prepared.
Hours that do not match the placement
A full day was reported for someone who was replaced at noon. There is no line that ties the hours to who was actually on site.
What you get
Person, client, and placement
The person stays one record. The placement says which client, which site, and from which date. Availability is derived from open placements.
Confirmation from both sides
A placement closes only after the client approves the person and the person confirms arrival. Until then they are a candidate, not placed.
Hours against the placement
Hours are logged on the placement, from the coordinator’s or the worker’s phone. A mid-shift replacement closes one line and opens another.
Common questions
How do you roll this out without stopping tomorrow’s placements?
Do not migrate the whole history. Load the people placed this week and the active clients. Old candidates come in only when you contact them again.
Does this also fit security and cleaning?
Placing a person is similar, but security runs by post and incident, and cleaning by site and checklist. A staffing company that sends people to different clients belongs here. A company that operates its own sites has a separate page.
Can a coordinator in the field log a replacement?
Yes. The replacement is recorded from the phone on today’s placement, so the hours do not stay on someone who already left.

A mobile app on the same core as the web
The office works comfortably on a large screen, and the field stays on screenshots and group chats. We build the phone actions on the same server and the same permissions, not as an app with a database of its own.
Shift management for a security company
The client requires a guard on a post. In practice someone was replaced in the middle of the night, and the incident was written in a group. In the morning nobody can show who was there and what was handled.
